The migration is technically straightforward but operationally sensitive: every employee's gross-to-net must reconcile in the new system before going live, and YTD PIT must carry over correctly so the 30 June annual reconciliation doesn't break.

Step-by-step setup

  1. Pick a cloud HRMS with UTL 2025-2026 brackets, SSB MMK 300,000 cap, payslip generation and IRD/SSB form export.
  2. Extract employee master data from Excel — name, NRC, SSB number, IRD taxpayer ID, designation, salary, allowances, bank, joining date.
  3. Extract YTD figures — gross paid, PIT withheld, SSB contributed, leave taken, OT paid, severance accrued.
  4. Configure the HRMS — pay components, PIT engine, SSB engine, leave types, working calendar (44-hour S&E or 48-hour Factories Act).
  5. Parallel-run one cycle — Excel and HRMS for the same period, reconcile every employee.
  6. Go live — payslip from HRMS, PIT and SSB filings via HRMS-generated forms.
  7. Audit Month 2 — IRD and SSB acknowledgements received; reconcile to GL and to Excel archive.

Common data quality fixes

Most Excel-to-HRMS migrations expose data quality gaps: NRC numbers stored inconsistently, SSB numbers missing for some staff (clue to past skipped registration), allowances not categorised, leave balances disputed. Fix during migration — do not carry the issues forward. The HRMS will not let you save inconsistent data, which is the point.
